What are we looking for a Commercial Legal Administrator to  support our award winning commercial legal team with all administrative tasks and be a consistent point of contact in the office, in a team where the lawyers work flexibly.
To support the property legal administrator and team legal assistant on an ad hoc basis if required
and also to support the UK Senior Compliance Manager.   Proficient in Word/Excel. Experience of using Office 365/Sharepoint would be helpful. High standard of written and spoken English
Good team player, able to use initiative. Experience of working in a legal or financial environment would be helpful.  Integrity and discretion are essential

What will I be responsible for?   Working in a confidential and highly commercially sensitive working environment to provide administrative support to the commercial legal team
Taking responsibility for electronic filing, file opening, file management and archiving and registering completed documents
Managing external law firms’ financial and matter reporting
Helping to track external and internal legal spend
Managing a shared calendar, arranging meetings and travel for the commercial legal team and senior compliance manager
Setting up and tracking monthly and quarterly reviews with external firms
Being the relationship point of contact for external law firm administrators
Setting up legal training programme, liaising with training and development team and external law firms, setting up sessions, collating feedback to help plan future sessions
Archiving and archive searches
Being a first point of contact for the commercial legal team – setting up meetings, collecting visitors, arranging parking etc
Filing ‘housekeeping’ matters – ensuring final bills are paid, that files are closed down properly and documents logged and archived.  Supporting commercial team strategy (e.g. being responsible for strategy tracker, diarising strategy meetings and reminders)
Providing assistance to purchase order administrators for legal invoices
Providing support for the property legal administrator and team legal assistant to cover absences etc, including assisting with document signing by statutory directors if needed
Typing as required (including track changes in Word, and Excel reports)
Setting up and maintaining team Sharepoint sites
General administrative support as required
